Summary:
To accurately oversee and execute the administrative support function for all tenders, RFQs and proposals in the Business Development Department to ensure timeous and compliant submissions.
Main Job Tasks, Responsibilities:
- Assist with the execution of all tendering activities.
- Preparing and submitting tenders, proposals, expression of interest, RFIs and vendor documents.
- Attending Tender clarification meetings.
- Reviewing tender documentation to identify specific requirements, red flags and preparing returnable checklist.
- Defining the process per tender to ensure that all stakeholders are identified, deadlines are scheduled and roles and responsibilities are assigned accordingly.
- Arranging internal tender briefing meetings.
- Coordinating the completion of tender documents by liaising with a wide range of roles within the company such as Estimating, Safety, Ops and Finance.
- Combining all the necessary documentation and reviewing the formats to ensure compliance with tender requirements.
- Collating the tender document in a presentable format to client.
- Tracking all tender related correspondence before, during and after submission.
- Ensuring tenders are submitted on time and via the correct delivery method.
- Maintaining the Business Development folder for record purposes.
- Updating sales pipeline and conducting won/lost analysis.
- Basic reporting.
