We are looking for an Office Administrator to join our team – this role is a fixed term contract for 5 months

The Office Administrator is responsible for managing various administrative tasks and providing support to ensure smooth office operations. This role requires a proactive and organized individual who can handle multiple responsibilities efficiently while maintaining a professional and welcoming office environment.

Duties include: 

  • Greet clients and visitors in a courteous and professional manner, providing assistance and directing them to the appropriate personnel or meeting rooms.
  • Manage incoming calls, allocating tickets, and correspondence, responding promptly and directing inquiries to the appropriate staff members.
  • Coordinate and schedule appointments and meetings, ensuring optimal use of time and resources.
  • Maintain office supplies inventory, anticipate needs, and place orders as necessary to ensure adequate stock levels.
  • Assist with the organization and execution of firm events, meetings, and conferences, including arranging catering, preparing materials, and coordinating logistics.
  • Coordinating with suppliers and contractors as needed by operational requirements.
  • Handle incoming and outgoing mail, packages, and deliveries, distributing them to the appropriate recipients and processing outgoing shipments.
  • Support administrative tasks, such as data entry, filing, scanning, and document management, ensuring accuracy and confidentiality of information.

Skills and Qualifications: 

  • Ability to work independently and prioritize tasks effectively in a fast-paced environment.
  • Excellent communication skills 
  • Martic certificate
  • Qualification in business administration or a related field (advantageous)
  • Customer service-oriented mindset, with a willingness to assist colleagues and clients.
  • Adaptability and flexibility to handle changing priorities and deadlines.
  • Discretion and confidentiality in handling sensitive information.
  • Excellent attention to detail and accuracy.
  • Valid driver’s license and own a reliable vehicle.
  • Proven experience in an administrative or office support role, preferably in a professional services environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
