Our client, a Leader in the Higher Education sector are looking to appoint a National Timetable Manager in a permanent capacity.ÃÂÃÂÂ Ideally the role would be based in Bloemfontein, however with campuses countrywide, the company would consider area’s outside of Bloemfontien, provided there is a campus based there.

Purpose of the Position:
- To manage the institutionâs timetabling department, ensuring, through dynamic timetabling solutions, processes and systems, that the needs of all stakeholders are met, and all space assets are optimised.
Minimum Qualification:
- A relevant honours qualification, preferably a B.Sc (Hons) in Information Technology
Experience:
- Two to five yearsâ experience in Higher Education industry in relevant roles such as the Registrars Office or Academic Operations, with exposure to or responsibility for timetable management
- A least three yearsâ management experience
Responsibilities:
As the National Manager Timetables, you will primarily be responsible for:
- Accountable for all The company timetables
- Management:
- Planning â timetabling operational plans, objectives, and schedules
- Monitoring â monitoring, control, corrective action in relation to all timetabling plans, schedules, and objectives
- Reporting â progress feedback and timetabling performance feedback to stakeholders
- Workflow/alignment â manage the alignment with all relevant stakeholders
- Resolve all timetabling escalations/problem solving
- Resourcing and capacity management â ensure all stakeholders are enabled and the team is capacitated to deliver the work (people, infrastructure, systems, technology, equipment, knowledge â content, process, design, information, facilities/physical environment trends)
- Operational efficiency â ensure the necessary timetabling processes, standards and systems are in place, ensure governance and ensure compliance and that all timetabling risks are identified and mitigated

- Represent The company in wider timetabling usersâ community forums in the development of timetabling processes and timetabling software, by attending strategic user groups and conferences
- Develop and implement collaborative strategies with all stakeholders to ensure that space requirements for the timetables are planned, taking account of institutional and faculties strategic objectives, student number forecasts, contact hours, examination requirements, curriculum development, academic endeavour, including research and teaching development and the advancement of The company
- Liaise with the facilities/student support departments regarding the number of teaching spaces available, and on related quality and capacity issues and projects
- Act in an advisory capacity on all timetabling matters, including producing updates to Senior Management on issues and progress including input to timetabling related committees, workshops and meetings
- Ensure effective partnership working with Student Data and Academic Systems Team, IT Department, Facilities Department, and other functional areas
- Explore and report on ways of improving and developing timetable delivery to facilitate the development of the academic work and the improvement of space utilisation
Functional Competencies:
- Depth of know-how regarding the use of complex timetabling systems (preferably CELCAT)
- A basic understanding of web-based room booking systems
- Advanced MS Office skills (Excel)
- Reporting skills â Power BI, dashboards, etc
- Skilled with regard to integrating data between databases
