Job Purpose:
The Creditors Clerk is responsible for managing and processing supplier invoices, ensuring timely and accurate payments, reconciling accounts, and maintaining effective relationships with suppliers for a group of companies. This role is vital to maintaining the financial integrity and smooth operation of the company’s accounts payable function.
Key Responsibilities:
Invoice Processing: Receive, review, and verify supplier invoices, ensuring they comply with company policies and procedures.
Payment Management: Prepare and process electronic transfers, payments, and cheque runs on a timely basis.
Account Reconciliation: Reconcile supplier statements and resolve discrepancies between statements and accounting records.
Communication with Suppliers: Maintain regular communication with suppliers to address any queries, resolve disputes, and ensure a smooth payment process.
Expense Allocation: Allocate expenses to appropriate cost centres / business units, ensuring accurate financial reporting.
Data Entry: Accurately capture invoice details and payments in the accounting system.
Filing and Record Keeping: Maintain organized and accurate records of all creditors’ transactions.
Compliance: Ensure all creditor activities comply with company policies, accounting principles, and legal requirements.
Reporting: Assist the Accounts Payable Manager with generating reports and providing information for audits and financial reviews.
Process Improvement: Identify areas for improvement within the accounts payable process and contribute to the implementation of efficient workflows.
Qualifications and Experience:
Matric certificate (Grade 12) or equivalent. A diploma or certificate in finance, accounting, or a related field.
Minimum of 2-3 years of experience in a similar role within a medium to large organization.
Proficiency in accounting software (e.g., SAP, Pastel, Sage or similar) and Microsoft Office Suite (Excel, Word).
Strong understanding of accounts payable processes and basic accounting principles.
