Overview:
We are looking for a proactive and detail-oriented Marketing Operations Manager to join our team. This role is essential for ensuring that our marketing team runs smoothly and efficiently. You will be responsible for overseeing day-to-day operational tasks, ensuring timely task completion, managing office supplies and logistics, and flagging any bottlenecks or issues that may arise. The ideal candidate will be highly organized, communicative, and capable of fostering a productive and accountable work environment.
Responsibilities:
Team Accountability and Task Management:
- Ensure marketing team members are following through on tasks, meeting deadlines, and maintaining productivity standards.
- Track team deliverables and proactively flag any issues or delays to ensure projects stay on track.
- Coordinate with marketing team leads to prioritize and ensure all tasks are aligned with team goals.
- Monitor and support the workflow of various marketing projects, ensuring seamless collaboration between team members.
- Ability to track tasks from initiation through to completion, ensuring visibility and follow-through at every stage.
- Ensure time capture aligns with global workflow processes, manage in-office attendance (3x/week), uphold the Companies core values, ensure employees work a full 8-hour day, and effectively communicate and track employee leave time.
Operational Support:
- Act as the point of contact for office-related needs, including ordering office supplies, coffee, and other essential items.
- Oversee the organization and cleanliness of the office, maintaining an efficient workspace for the team.
- Organize team meetings, ensure agendas are followed, and document key takeaways and
action items.
- Collaborate with the IT department to ensure new employees receive the necessary hardware and access for a smooth onboarding experience.
Communication and Coordination:
- Serve as a communication liaison between the marketing team and other departments, ensuring information is passed along efficiently.
- Ensure team members are aware of deadlines, meetings, and necessary resources to complete tasks on time.
- Report operational or logistical challenges to the senior marketing operations manager to find timely solutions.
Process Improvement and Reporting:
- Assist in maintaining and optimizing internal processes for maximum productivity.
- Help track key performance indicators (KPIs) and generate basic reports to monitor team performance and project progress.
- Support ongoing efforts to improve team workflows and marketing program efficiency.
- Adhere to all Company policies and legal/compliance guidelines, ensuring that all deliverables are aligned and appropriate for distribution.
Qualifications:
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- A proactive problem-solver with a keen eye for detail.
- Familiarity with project management tools like Jira is a plus, but not required.
- Ability to work independently and as part of a team.
- Strong understanding of marketing principles and operations is required.
- Demonstrated success in managing outsourced digital marketing teams, ensuring efficient tracking and performance oversight.
