Job Details

Operations Manager is required to Develop, implement, evaluate and enforce policies and procedures. Develop processes for receiving product, utilizing equipment, managing inventory and shipping product. Develop and implements effective warehouse layout that accounts for product flow, equipment and product handling systems.

Key Responsibilities:

1. Operations Management
• Manage the Customer Service Team to ensure that procedures are in place & that sales orders are processed, orders released for pick, and credit notes are raised accurately and on time.
• Manage the Customer Service Team to ensure that quality service is provided to all wholesale customers. Deliver customer satisfaction that exceeds expectation.
• Ensure that the Operations Team works closely with the Sales, Marketing, Retail and AR teams.
• Liaise with all other departments to resolve issues affecting customer satisfaction
• Deliver weekly reports to Sales detailing product delays and shortfalls
• Work with IT to implement improved systems and applications
• Manage & oversee the purchasing department ensuring processes are in place that meet all company & operational requirements. Working closely with finance
• Manage shipments to ensure inventory arrives on schedule and is processed accurately by the Warehouse.
• Develop and implement appropriate processes and procedures for the Operations Team
• Manage the relationship freight & logistics business partners
• Establish KPIs freight & logistics business partners
• Manage freight & logistics performance by monitoring KPI’.

2. Warehouse Management
• Oversee the Warehouse Operations ensuring strict measurements are in place. This includes access & authorisation
• Develop KPIs in tracking and improving efficiencies and accuracy of receiving, putting stocks away, picking & packing, delivering, and returns handling
• Review the current warehouse procedures and implement processes that will see a best in class operation & compliance
• Ensure stock takes are maintained to the required timelines & inventory discrepancies are kept to the acceptable levels
• Provision of on-going capacity usage, needs, and related staffing support
• Evaluate & advise current Warehouse v 3PL
• Provide reporting and necessary data to the business – outwards and inwards volumes
• Ensure all warehouse costs are in line with Budget
• Through evaluation and the tender process, ensure company is provided with the best service and solutions at the appropriate costs.

3. Business System Support & Management
• Implement business efficiencies & improvements.
• Review current & future Warehouse support needs, working closely with IT & Boston Head Office.

4. Building Maintenance & Security
• Ensure that the building is maintained to a satisfactory standard
• Ensure the building security system is maintained and operational.
• Liaise, monitor and communicate all issues and solutions to the relevant people
• Be the primary contact between all providers/service personal and company
• Log, monitor and resolve and building maintenance issues.
• Work very closely with the Landlord to ensure all & any Building compliance & maintenance issues are up to date.
• Ensure safety measures are in compliance with local and statutory requirement (Health & Safety Act) while maintaining a safe working environment for all associates

5. Inventory Management
• Ensure inventory levels & Warehouse capacity is kept to a required level. That Warehouse optimization is achieved.
• Work with Finance & Sales to ensure any aged or redundant inventory is moved out of the Warehouse to the required time line

6. Staff Management
• Management of, Operations & Warehouse personal. 

• Ensure compliance with NB core values and policies
• Proactively coach direct reports to create sustainable performance enhancement.
• Deliver departmental role clarity.
• Identify developmental requirements and ensure staffs attend relevant courses.
• Manage the KPI reporting & appraisal process
• Set and achieve training targets for all staff
• Manage any travel & entertainment costs to budget

7. Finance 
• Develop and monitor operational budgets and forecasts (including Warehouse, Customer Services, Purchasing, etc.)
• Work closely with credit team in the management of customers’ credits and shipment (i.e. credit limits, credit overrides, overdue A/R, etc.)

8. Other Responsibilities
• Be part of the Senior Management Team
• Work closely with the Finance Department
• Maintain clear vision and understanding of the company’s direction
• Regular presentations to Snr Management on business status
