Job Details

Job Purpose:
Perform any of the numerous functions and activities relating to the day-to-day operations of the Warehouse and Dispatch
area, including its contents, the Warehouse staff, and related administration in conjunction with the Branch Manager.

 

Responsibilities and duties:

  • Staff management and supervision
  • Manage staff in accordance with the BCEA and companies’ policies and procedures.
  • Ensure staff are trained and correctly equipped for the job.
  • Facilitate staff upskilling and multiskilling to ensure workforce flexibility.
  • Performance manages warehouse staff in conjunction with the Branch Manager
  • Maintain a respectable company image by ensuring staff are neat, presentable, and wearing the correct uniform and PPE.
  • Monitor, order, and distribute staff consumables and clothing.
  • Control and administer staff leave and absenteeism in consultation with the Branch Manager.
  • Receiving of goods
  • Check and confirm goods received is as per the invoice regarding quantity, quality, and type, prior to signing acceptance thereof.
  • Supervise offloading of vehicles and containers ensuring correct processes and procedures are followed.
  • Ensure all damaged stock is recorded and claimed for.

Dispatch of goods:

  • Prior to deliveries, check and confirm vehicles are loaded with correct stock according to picking slips and orders.
  • Ensure vehicles are compliant with loading procedures relating to weight of the load, balance and how it is secured to the vehicle and that it meets the required load %
  • Facilitate timeous deliveries to customers as determined by the delivery plan.
  • Stay informed of any customer specific requirements and delivery environment / location.
  • Maintain contact with drivers and monitor deliveries to ensure efficiency and driver and stock safety.

 

Stock control and management:

  • Ensure stock is moved, placed, and stored correctly and in a safe manner as per policy and procedure
  • Ensure stock is clearly identifiable, countable, and categorised.
  • Supervise periodic stock takes as determined by the Branch Manager.
  • Investigate all breakages or loss of stock and submit the required report.
  • Identify risks and implement measures to prevent stock breakages.

Health and Safety:

  • Ensure all staff have the required PPE to perform their duties.
  • Ensure PPE is correctly applied, maintained, and in good working order.
  • Order replacement PPE as required by procedure.
  • Conduct regular workplace inspections to identify and manage possible risks.
  • Ensure equipment, vehicles, and machines are compliant to safety regulations.
  • Ensure equipment, vehicles, and machines are used and operated in a safe manner.
  • Investigate all incidents and recommend improvements or adjustments on how to prevent future similar incidents.

Site security and access control:

  • Manage access to the warehouse by enforcing entry and access to premises only though authorised points.
  • Ensure all warehouse staff are accounted for and times correctly recorded as per the clocking procedure.
  • Ensure access to and movement on site by clients and visitors are controlled and managed.
  • Conduct and co-ordinate breathalysers test of all staff as and when required.
  • Ensure the alarm and related security measures are activated when locking the warehouse.
  • Open and lock the warehouse during afterhours activities as required.

Housekeeping:

  • Ensure the Warehouse is clean, free from unnecessary obstructions, and conducive to a safe working environment.
  • Ensure stock and materials are stored correctly and in the right places.
  • Ensure broken and damaged glass is stored / discarded off correctly.
  • Conduct daily walks to confirm tidiness of the warehouse.

Administrative tasks:

  • Act as first line of response relating to all Warehouse staff related matters. (Wages, leave, attendance, discipline etc.)
  • Record, file, and track expiry dates off all licenses and certificates required by staff to perform their duties.
  • Ensure daily vehicle and equipment checks and inspections are done and recorded.
  • Ensure that vehicles, equipment and machines are serviced as per the relevant intervals.
  • Ensure vehicles are licenced and in a roadworthy condition.
  • Ensure drivers complete and submit their log sheets correctly and on time.

Required qualifications and experience:

  • Grade 12 certificate.
  • Driving licence EB preferably C1.
  • Certificate / Diploma in Warehouse management, logistics, business, or related field will be advantageous.
  • 3 – 5 years related experience required.
